QuickBooks Invoice Importer Privacy Policy

HatchHouse, Inc. (“HatchHouse,” “we,” “us,” or “our”) operates the QuickBooks Invoice Importer (“Application”) for its internal business use. This Privacy Policy explains how the Application handles information.
The Application is restricted to authorized HatchHouse employees and contractors. It is not offered to consumers or the general public.
1. Information processed
Depending on how the Application is used, it may process:

Invoice PDF files and information extracted from those files

Customer names, account numbers, addresses, and contact information

Invoice numbers, dates, descriptions, quantities, charges, shipping amounts, setup fees, taxes, balances, and totals

QuickBooks Online customer identifiers and customer information

QuickBooks Online invoice identifiers and invoice information

Customer-account mappings created or approved by authorized users

QuickBooks company identifiers

OAuth authorization information required to connect with QuickBooks Online

Technical information necessary for security, troubleshooting, and operation
The Application is not designed to import or process payments from source invoice PDFs.
2. How information is used
HatchHouse uses this information to:

Read and validate invoice information

Present invoices for employee review

Match legacy customer accounts with QuickBooks Online customers

Detect missing, inactive, ambiguous, or conflicting customer matches

Identify invoices that may already exist in QuickBooks Online

Prepare approved business information for authorized accounting workflows

Maintain the security and reliability of the Application

Diagnose errors and support authorized users
-
Comply with legal, accounting, and security obligations
HatchHouse does not use QuickBooks information for unrelated advertising or marketing.
3. Human review
The Application is designed to require employee review of invoice and customer information. Fuzzy or uncertain customer matches are not intended to be accepted silently.
Authorized employees remain responsible for reviewing the accuracy of information before approving or relying upon it.
4. Sources of information
The Application receives information from:

Invoice PDF files supplied by HatchHouse

HatchHouse personnel

HatchHouse’s authorized QuickBooks Online company

Existing customer-account mappings and local Application records
5. Sharing and service providers
HatchHouse does not sell personal information or QuickBooks information.
Information may be disclosed only as reasonably necessary to:

Authorized HatchHouse employees and contractors

Intuit, when communicating with QuickBooks Online

Microsoft Azure, which provides the secured OAuth callback service used during QuickBooks authorization

Technology providers acting on HatchHouse’s behalf

Government authorities or other parties when required by law

Advisers or service providers assisting with security, legal compliance, or Application support
Service providers are permitted to process information only for the services they provide to HatchHouse, subject to applicable agreements and legal obligations.
The OAuth callback service is intended to relay authorization information to the locally running Application. HatchHouse does not intentionally use that relay to permanently store invoice or customer data.
6. Storage and retention
Invoice files, customer mappings, QuickBooks authorization credentials, and related operational information may be stored on systems controlled by HatchHouse.
Information is retained only as long as reasonably needed for business operations, accounting requirements, security, troubleshooting, legal compliance, or backup recovery. Retention periods may vary according to the type and purpose of the information.
When information is no longer required, HatchHouse will delete it or render it unusable when reasonably practicable and consistent with legal and backup requirements.
7. Security
HatchHouse uses reasonable administrative, technical, and physical safeguards designed to protect information. These include restricting Application access, using encrypted HTTPS connections, limiting QuickBooks access to authorized workflows, and protecting credentials and authorization tokens.
No storage or transmission system can be guaranteed to be completely secure. Suspected unauthorized access should be reported immediately to the contact address below.
8. User responsibilities
Authorized users must:

Use the Application only for approved HatchHouse purposes

Protect passwords, tokens, and customer information

Avoid copying information to unauthorized devices or services

Verify customer and invoice information before approval

Report suspected security or privacy incidents promptly
9. Individual privacy requests
A person whose information appears in HatchHouse’s business records may contact HatchHouse to ask about access, correction, or deletion of that information.
HatchHouse will evaluate requests according to applicable law and its legal, accounting, contractual, and operational obligations. Some records may need to be retained when required by law or legitimate business requirements.
10. Children’s privacy
The Application is a business accounting tool and is not directed to children. HatchHouse does not knowingly use the Application to collect information from children.
11. International processing
The Application is operated for HatchHouse’s internal business activities in the United States. Information may be processed by service providers in locations where those providers operate, subject to applicable safeguards and legal requirements.
12. Changes to this policy
HatchHouse may update this Privacy Policy when the Application, its integrations, or applicable requirements change. The effective date above identifies the latest version.
